Terms and Conditions

Bookings are subject to the following terms and conditions:

We welcome all guests to enjoy the facilities and treat the property with the same due care they would with their own home.

The property must not be used except for the purpose of a holiday or visiting the area on business.

Payment/Deposit

10% payment is taken at the time of booking with the remainder (plus deposit) payable 14 days prior to check in. When the deposit and payment is received, a contract will come into effect.

Damage deposit – In making a booking you accept responsibility for any theft, breakage or damage caused by you or any member of your party and agree to indemnify in full for any loss that may be incurred as a result. A security deposit of £150 is required and will be returned as close to 5 days of the end of your holiday, less the cost of any loss, damage or extra cleaning costs. If damage occurs and the owner must cancel and/or refund subsequent bookings, a claim may be brought for any loss arising as a result.

The contract binds the lead booker and all the members of the party who are part of the booking. It is your responsibility to ensure that all members of your party accept the terms of the contract and House Rules set out in these Terms & Conditions. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking. The lead guest accepts responsibility for nuisance or damage. The lead booker is responsible for the supervision of all guests under the age of 18 at all times.

Bookings

Bookings cannot be accepted from persons under eighteen years of age. Bookings can be refused without giving any reason.

House Rules

Guests are also asked to agree to House Rules which will be set out at the time of booking. These are:

No parties, events or commercial photography
No pets
No smoking, vaping nor e-cigarettes
Exact number of guests staying must be stated prior to check in and not exceed the maximum occupancy of 4 (excluding children under 2). Only guests on the booking are permitted in the building and flat. (Please be advised there are no cots available).
When checking in and out, please check the communal door is closed firmly and the lockbox is closed securely and the numbers scrambled.
Upon checkout, it will not be permissible to re-enter the block.
Outdoor shoes not to be worn in flat (please leave in entrance hall/entrance cupboard). There is a seat in the hall to use for your comfort.
When opening the window in the en-suite bedroom and living room, please open each door in turn (and not together as they may break).
Only loo paper and tissues to be flushed down the lavatories.

Entrance to the property normally commences at 4.00 pm on the arrival date and guests are required to leave the flat by 11.00 am on the day of departure. Failure to do so may result in a charge of a further day’s rental.

Please do not move any furniture from one room to another or any of the indoor furniture, furnishings or bedlinen outside.

As an eco-friendly home, please make sure you switch off lights, heating or any electrical appliances when you go out.

We or our representatives reserve the right to enter the property at any time to undertake essential maintenance, repairs or for inspection purposes. Every effort will be made to contact you to advise of such.

Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be chargeable.

The property may not in any circumstance be re-let or sublet.

No liability shall be taken to you or your party for loss or damage to property, however arising.

All inventory must remain in the property and not be taken to another property.

Please park your vehicle/s in the development car park situated next to the block, ensuring cars do not block access to other properties.

Please respect the community and keep noise levels to a minimum, especially between 11 pm and 8 am.

We reserve the right to terminate your rental agreement with immediate effect where unreasonable behaviour may impair the enjoyment, comfort or health of others. You’ll be asked to leave the property, without any refund of the rental amount paid.

Wi-Fi – you agree to reasonable and lawful usage.

Shortcomings

Every effort is made to ensure that you have an enjoyable stay. However, if you have any problem or cause for complaint, it is essential that you contact us immediately to give us the chance to resolve it.

If there has been any damage or breakages during your stay, it would be appreciated if it could be reported promptly especially before check-out.

Your custom is valued and want you to return. We are nearby and will do our best to resolve any problem. We cannot accept liability in relation to any shortcomings or claim of whatever nature if you fail to notify us of any complaint or claim during your holiday and write to us within 28 days of the end of your holiday. Most problems are easily and quickly resolved. If we are not given the opportunity to resolve the issue at the time of your visit, we will not consider a request for refund / remediation following departure.

Cancellation Policy

It is strongly advised that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

For stays of less than 7 nights - full refund if cancelled in writing to joanna@18hedgefield.com before 4.00 pm (GMT), 48 hours prior to check in date. Otherwise the full reservation price will be chargeable. Eg, a booking starting on 15th would need to be cancelled by 4.00 pm on 13th.

For stays of 7 nights and more - 25% refund of the total price paid if cancelled in writing to joanna@18hedgefield.com before 4.00 pm (GMT), 2 weeks prior to check in date. Otherwise the full reservation price will be chargeable. Eg a booking starting on 22nd would need to be cancelled by 4.00 pm on 8th otherwise the full price will become payable.

No show - no refund will be applied.

Force Majeure (circumstances beyond the control of the owner)

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property, illness of owner, you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the lodging costs based on the time remaining of the booking. This will be the full extent of the liability of the owners. No additional compensation, expenses or costs will be payable.

If the property must close due to government restrictions or your address is put into local/regional lockdown for your holiday dates and you are unable to travel, you will be refunded in full.
